Summary

This is a varied role providing front-of-house, catering, reception and administrative support to help ensure the smooth running of the reception and meeting rooms, providing a welcoming experience for clients, visitors and colleagues. The successful candidate will support the receptionists to provide meeting room hospitality, kitchen and catering arrangements, and general office and facilities administration.

Responsibilities

Hospitality and Catering Support:
  • Prepare and serve refreshments for meetings, including tea, coffee, water and light catering.
  • Set up and clear meeting rooms before and after meetings, ensuring a high standard of presentation.
  • Assist with ordering, receiving and storing catering supplies, kitchen stock and refreshments.
  • Keep kitchen, refreshment and hospitality areas clean, tidy and well stocked throughout the day.
  • Support internal lunches, events and ad hoc hospitality requirements as needed.
Reception and Front-of-House; Provide cover for the Receptionists:
  • Welcome clients, visitors and colleagues in a warm, professional and helpful manner.
  • Answer and direct incoming calls, take accurate messages and respond to general enquiries.
  • Manage visitor arrival procedures, issue passes where required and follow office security processes.
  • Support meeting room bookings and ensure rooms are prepared, tidy and ready for use.
  • Receive, sort and distribute incoming post, deliveries and courier items.
Administration Support:
  • Provide general administrative support, including scanning, photocopying, filing, printing and data entry.
  • Support the Senior Receptionist with Facilities tasks and administration.
  • Assist with maintaining office records, contact lists, documents and shared folders.
  • Support with ordering office supplies and keeping stationery areas organised.
  • Help prepare basic documents, letters, labels, meeting papers and spreadsheets.
  • Provide flexible support to colleagues and teams during busy periods or when cover is required.

Qualifications and Experience:

Experience:
Previous experience in hospitality, catering, reception, customer service or administration would be helpful, but full training can be provided.  
Qualification:
Food Safety, Health & Safety (training will be provided)  
Skills, Experience and Personal Qualities
  • Friendly, polite and confident when dealing with people in person and by phone.
  • Well organised, reliable and able to manage a varied workload.
  • Good attention to detail and a willingness to complete routine tasks to a high standard.
  • Clear written and verbal communication skills.
  • Basic IT skills, including Microsoft Outlook, Word and Excel.
  • Positive, hands-on approach and willingness to help where needed.
  • Discreet and professional when handling confidential information.
